Maximizing Focus to Achieve Optimal Success in Your Virtual Bookkeeping Business

May 06, 20242 min read

Are you feeling like you're endlessly running on a proverbial hamster wheel in your bookkeeping business? It's common for entrepreneurs to get so entrenched in the minutiae of daily operations that they lose sight of the bigger picture.

This tunnel vision can hinder strategic decision-making and impede your path to success. As you embark on your new venture, it's a great time to seek clarity in your business.

Many of my clients, many of whom are women, face two primary challenges. The first is the 'superwoman syndrome,' where there's a tendency to take on more than necessary, believing in the myth of multi-tasking efficiency. It's crucial to remember that delegating and seeking help is not only acceptable but often quite necessary.

The second challenge is a lack of clarity. When your view is obscured by the 'trees' of daily tasks, it's tough to see the 'forest' of your business strategy. This lack of perspective can stunt growth, as you're unable to figure out if you're on the right course.

Here’s a strategy to gain clarity and focus, which you can implement in just 30 minutes. This exercise should ideally be repeated monthly, or even weekly, for sustained focus and direction.

1. Find a Quiet Space: Choose a place away from your usual workspace or bedroom to avoid distractions or the temptation to nap.

2. Brain Dump on a Yellow Legal Pad: Why yellow? It's just more fun and visually appealing. Limit this exercise to 10 minutes for organic, top-of-mind issues. The goal is to clear your head.

3. Distinguish Tasks from Clutter: Review your list, separating actual tasks from mental clutter. This should take about 5 minutes.

4. Get Focused: From the remaining tasks, identify the top three revenue-generating activities. Mark these with an asterisk. These are your focus for the next week or month.

5. Define Desired Results and ROI: For the final 10 minutes, define the expected results and minimum ROI for each of the three focus areas. Be specific about what success looks like – a new client, completed project, etc.

After completing this exercise, take a moment to review and ensure no crucial result is overlooked. Stick to your chosen tasks, and use this as a roadmap for the upcoming period. If you veer off course, refer back to this roadmap to realign. And if you achieve your goals sooner than anticipated, don't hesitate to have another clarity session to maintain momentum.

By practicing this focused approach, you'll be amazed at the results and progress in your virtual bookkeeping business.
